Refinec Oy is committed to protecting your privacy and personal data. Refinec processes your personal data in accordance with international and European data protection principles and applicable personal data legislation (including the European General Data Protection Regulation where applicable).

1. Refinec’s website and Internet services

In general, you can visit the refinec.fi website (the “Site”) without providing your personal information. The site is technically divided into separate parts, some of which may require collect more of your personal data, while others can be used without processing personal data.

When you visit the site, your computer automatically sends certain technical and other information (e.g. IP address, your browser type and the source of the visit). We also collect information about your website usage using cookies. See the Cookies section of this privacy policy for more information.

In certain parts of the site, you may be asked to provide personal information for a service or job search.

1.1 Processing purposes and legal grounds

The purpose of processing the personal data collected by Refinec through the website is

  • ensure efficient and safe use of the site
  • to develop the site to a higher quality and better services
  • improve our services to website visitors
  • to contact website visitors
  • to conduct research and collect statistics (e.g. which parts of our site users visit and how much time they spend on the site).

The legal grounds for data processing are Refinec’s legitimate interests related to the aforementioned purposes. Refinec requests the registered person’s consent to the processing of personal data if required by applicable laws.

1.2 Source and storage period of personal data

Personal information is received directly from the website visitor, or he gives it when using the website.

Personal data is stored as long as it is needed for the purposes for which it was collected. After this, the personal data is deleted or made anonymous.

The storage period of collected personal data is 3 months. If the job seeker has given his consent to be contacted in another job, the storage period is 12 months. However, we can transfer personal data in connection with contact forms to our CRM system, which you can read more about in section 2.

1.3 Cookies

Refinec may from time to time place information commonly known as “cookies” on the website visitor’s computer or mobile device. In this way, Refinec can identify the website visitor if he has agreed to place cookies on his computer or device, for example by giving his consent or by changing the browser settings. Cookies give Refinec information about how and when the visitor has used the site and help Refinec improve the site to create a better service.

Cookies are commonly used on many websites today. If you do not want to receive cookies, you can set your browser to delete them or disable them using the Refinec cookie settings tool. Please note that disabling cookies may prevent you from using certain services on the site.

1.4 Contact forms

Refinec uses contact forms on the site. You can contact Refinec either directly by phone, email or by filling out a contact request.

In connection with the contact request, Refinec collects personal data for the purpose of contact:

  • Name
  • Company
  • E-mail
  • Telephone number

Refinec uses the information it collects to contact you and possibly add it to its CRM system. You can read more about the processing of personal data in our CRM system in section 2.

1.5 Job application

During the recruitment process, Refinec may collect and store the following personal data:

  • Name, address, email address, phone number and other contact information
  • Curriculum vitae or CV, cover letter, previous and/or relevant work experience or other experience, education, transcripts or other information that the applicant provides to us in support of the application and/or the application and recruitment process.
  • Links to LinkedIn profile, video CV and application.

Refinec collects personal data directly from the applicant or from our external partners, e.g. head hunters. Refinec can also receive information from professional social networks, such as LinkedIn, only if the applicant has given permission by providing a link to their profile.

Information is needed for recruitment and entering into an employment relationship. Only information provided by the applicant is collected in the register, so the collection takes place with the applicant’s own consent. Collected personal data is used to assess the applicant’s suitability and to contact you.

Job applications are stored in Refinec’s email. The storage period for job applications is 12 months.

1.6 Website analysis

Refinec uses Google Analytics to track how website users use the website and what content is popular with visitors. Google Analytics monitors user interaction, collects personal data such as IP addresses, user IDs and cookies for behavioral profiling. Google Analytics visitor data does not expire automatically. Refinec collects non-personal information such as your Internet browser type, operating system, and the IP address of its website. Refinec uses the information to develop its site to better match the user’s computer settings, interests and preferences.

1.7 Embedded content from other sites

Articles on the Refinec site may contain embedded content (eg videos, images, articles, etc.). Embedded content on other websites behaves exactly as if the visitor had visited another website.

These websites may collect information about you, use cookies, embed additional third-party tracking, and track your interactions with that embedded content.

1.8 Transfers of personal data

Refinec does not transfer personal data outside of Refinec Oy or its partners and subcontractors.

Within the company, personal data is only transferred between different departments to those handling job applications.

Refinec may provide aggregated statistics about its customers, sales, traffic patterns and other information on the Site to reputable third parties, but these statistics do not include personal information.

2. Refinec’s customer relationship management (CRM) databases

Refinec uses customer relationship management (“CRM”) databases to manage and monitor sales and marketing activities. Refinec’s CRM databases contain personal information about customers, potential customers and representatives of other companies with whom Refinec has a business relationship or wants to develop one. Refinec’s CRM databases may also contain personal data of customers of Refinec’s customers or end users related to Refinec’s equipment and services.

This section contains more information about the processing of personal data related to Refinec’s CRM.

2.1 Collected personal data

In connection with CRM, the following information can be collected and processed:

  • Name
  • Company
  • E-mail
  • Mobile phone number
  • Language
  • Any other information relevant to the business relationship

Such personal data will later be referred to as “personal data” in section 2 of this data protection statement, and the persons whose personal data are processed as “registered”.

2.2 Processing purposes and legal grounds

The purpose of Refinec’s personal data processing is to facilitate Refinec’s business, support sales operations, handle deliveries, maintenance services and invoicing, communicate with customers for contract management and marketing, and otherwise maintain customer relations. Refinec can also use personal data to process cases and claims and to provide assistance at the customer’s request.

The processing of personal data is necessary to fulfill sales contracts to which the customer company is a party. In addition, the processing of personal data is necessary for the legitimate interests related to Refinec’s regular business purposes. Refinec requests the registered person’s consent to the processing of personal data if required by applicable laws.

2.3 Source(s) and retention period of personal data

Personal information has been received from customers or received in connection with their use of Refinec’s services.

Personal data will be stored as long as necessary for the aforementioned purposes. After this, the personal data is deleted or made anonymous.

2.4 Transfers of personal data

Refinec uses personal data only for its internal business purposes and does not disclose data to external parties.

3. Rights of the data subject

Registrants can contact Refinec at any time and request access to their personal data. Refinec will correct or delete all incomplete, inaccurate or outdated personal data at the request of the data subject.

If the processing of personal data is based on consent, the data subject has the right to withdraw consent at any time. If the processing of personal data is based on Refinec’s legitimate interest, the data subject can object to the processing based on a certain individual situation. The registrant must specify such a circumstance in the request for objection.

Under certain circumstances, data subjects can also object to the processing of their personal data and request data portability. If registered users have concerns or comments about Refinec’s processing operations, they also have the right to file a complaint with the relevant supervisory authority.

Refinec can refuse the request or charge a reasonable fee for fulfilling the request if the request is obviously unfounded or excessive or Refinec has other legal grounds for rejecting the request. Such legitimate reasons can be e.g. prevent Refinec from deleting personal data that must be retained due to local legal requirements or to maintain a chain of documentation until the end of the local claim period. Refinec may also need to retain data in order to fulfill contractual obligations.

Please also note that if Refinec blocks or deletes your personal information upon request, Refinec may not be able to perform services that you would like to use or have previously ordered or requested, or provide you with content that you would like to download or receive.

If otherwise requested, Refinec will delete your personal data without delay.

4. Updates to the Privacy Policy

Refinec strives to continuously develop the site, its business, and processes and tools related to data protection and reserves the right to change this data protection statement. To the extent required by applicable data protection laws, Refinec may also contact you through other user interfaces or by using collected contact information to provide information about updates that have a material impact on you as a registered user.
